Wedding Planning Services


Includes the following meeting schedule unique to Adansonia Events:

1. Budget and venue discussion (often in conjunction with the below discussion, if the client knows their budget): the best way to stick within your budget is to set it, and then work to beat each number. The only way to do so is by reaching out to many vendors, negotiating fairly and firmly, and comparing costs. This is best done by a planner who has relationships with many vendors and has the time to dedicate to collecting many quotes for the client.
        Delivered to you post-discussion:

  • A customized budget with categories weighted by importance to the client
  • A customized venue list with pricing and notes on each venue, with heavy consideration taken into client wants and needs (ex: accommodations on-site for bridal party, proximity to hotels, venue type, seating availability)

2. “All the little things” discussion: discussing family dynamics, special preferences that set your wedding apart (this is not what you will find online. Is a brother officiating the wedding, but you need to know how to get him ordained? Friends playing ceremony music? Want to do pies instead of a wedding cake? Want to forego save-the-dates?), and developing an understanding of the level of involvement which will keep the client most at-ease. 
       Delivered to you post-discussion:

  • A timeline for the course of the engagement period, customized to include direction around the aspects of your wedding that makes it unique, and EVERY wedding is unique, no matter how simple you think it may be
3. Venue selection kick-off and personal style discussion: the client will present favorites to the planner, and hopefully at this time, the client has seen enough options that they are developing a vision in their mind to share, so we can meet it together. If the client does not have a “Pinterest” board or similar idea board to share, we will provide a selection of images of various wedding themes to ask for your feedback. 
        Delivered to you post-discussion:
  • A refined list of favorite venues, with cost comparisons of each (this is one of the most challenging tasks for a couple – how to compare a cheap venue which requires tent rental, tables and chairs, and dance floor rental to a more expensive but all-inclusive one?)
  • An itinerary of selected venue walk-throughs arranged for the couple around their schedule
4. Micro-checklist presentation and general check-in: don’t lie awake at night wondering if you’ll remember to bring paper towels to dab off the bottom of the bridesmaids bouquets on the wedding day. We will present you with your nitty-gritty checklist 2-3 months prior to your event (table numbers, ceremony writing, customized notes we have gathered from you throughout, ex. “I love those guest books that are carved on a platter rather than a book”).
        Delivered to you post-discussion:
  • An updated micro-checklist with many items and responsibilities delegated to friends, family, and vendors
5. Timeline presentation and review: we will present you with your wedding weekend timeline, walk through it together slowly, and take notes of your edits. This is an extremely important document – requires working in conjunction with venue manager and other vendors to arrange and stagger arrival times, decorating times, and pickup times for people who are helping with cleanup and delivery of leftover décor back to the couple, etc.
        Delivered to you post-discussion:
  • An updated wedding weekend timeline, which is always a living document and can be adjusted at any time according to the client’s request

Also included in the package:

  • Outreach to the following vendors and presentation of options to the client, as needed:
Rental companies (tent or back-up tent in case of rain, bathroom, linens, tables/chairs…)
Ceremony musicians
Hair and makeup artist
  • Maintenance of interactions with all vendors, coordinating major and minor details and arrival times
  • Contract maintenance and enforcement with each vendor
  • Maintenance of interactions with bridal party, parents, and in-laws to communicate their responsibilities and mediate disagreements or tough issues
  • RSVP management
  • Attendance at final walk-through at venue with vendors
  • Coordination of rehearsal dinner with in-laws – sending them simple reminders and making them a simple timeline, should they be interested
  • Complete day-of coordination
  • Ceremony rehearsal planning and directing
  • All planning documents included in the “list of planning documents” tab, in addition to those above

Day-of service (truly month-of service)

  • Documents and related meetings included (please refer to document descriptions in full-service option above):
    • Micro-checklist
    • Contact list assembly and maintenance
    • Reception layout
    • Wedding weekend timeline 
  • Attendance at final walk-through at venue with vendors
  • Contract review and enforcement of each vendor
  • Coordination of rehearsal dinner with in-laws – sending them reminders and making them a simple timeline, if they wish
  • RSVP management, assuming we sign our contract with you prior to the date of invitation delivery
  • Complete day-of coordination (also coordinating arrival times and details with all vendors and friends and family who are offering their assistance)
  • Ceremony rehearsal planning and directing

Optional add-on or stand-alone package: design services

Oversight of floral design, centerpiece design, floor layouts, ceremony arch design in consultation with the couple

  • Additional meeting with presentation of various flowers and colors, gathering feedback, discussion of
    materials preferences (wood, lights, sparkle, linen, glass…)
  • Flower selection, consultation on seasonal flower choices in place of exotics to meet budget
  • Ratios of greens/light/dark
  • Coordination of bulk flower orders and shipment to a flower designer or work in conjunction with florist
  • Assembly of suggested décor items with links to the most affordable options (table numbers, favors, cake stands, etc…)
  • Assembly of a gifts list and recommendations in light of your budget (bridal party, flower girl, ring bearer, parents, ushers, readers…) – three options presented for each person within a certain budget and with knowledge of each person’s likes and dislikes

COST: $400

Travel fees

Attendance in-person in meetings over 25 miles from zip code 23226 (also applies to venue walk-through, rehearsal, wedding weekend): 1.00/mile outside of business hours, 1.50/mile during business hours (9-5 M-F).

25% discount offered on travel if meetings are finalized 2 months in advance (discount is cancelled if meetings are rescheduled). 
  • Weddings over 90 miles from zip code 23226 will require compensation for a one-night hotel stay in the budget of $100-150 (longer upon client’s request)
  • Weddings over 200 miles from zip code 23226 may require coordination and compensation for flying to wedding – determined on a case-by-case basis
